Converting an existing system to EasyRoute Plus:



If you already use software to keep track of things, you can order a custom data conversion program that will convert the data from your existing system to run in EasyRoute Plus. This involves obtaining the file structure, record sizes and some other very technical information from your current software's manufacturer (for each program you use), then contracting with Genesis A New Era to write an import program. As you can imagine, this can be your most expensive choice.

The easiest and least expensive way  is to manually input customers into EasyRoute Plus. You'll be surprised at how quick this is, and how soon you can be up and running!

How to get up and running ASAP:



Forget about the volumes of work you have done in the past. You will have plenty of time later to enter the non active accounts and data when you free up your time by not having to maintain your other system. This will happen only if you completely divorce yourself from your current system and rely on EasyRoute Plus to maintain your active records. You probably got EasyRoute Plus because you're overloaded using your current system. If so, you do not have time to maintain
both systems at the same time.

You will need to gather and organize information about your current customers so that the relevant data can be typed into EasyRoute Plus. Be very thorough when gathering this information. If any of the following things are true, the customer is considered to have current activity:

This data, as well as the names and addresses of your customers, need to be entered into EasyRoute Plus before you can use the system.

You will need to type in each active customer's name, address, and pertinent data. This only takes about 35 seconds per customer. After each customer's profile is created, you can add or modify transactions according to changes  that occur for that Cust. You will make changes using EasyRoute Plus as they occur,  not on order forms, post-its, or paper schedules.

First, collect the following required data for each active customer:
Name
Work Address
Map Location
City, Zip Code, State
Bill Name
Bill address
Bill City, Bill State, Bill Zip
Phone number(s)
Comments about each customer
Work currently scheduled
Work that is done but unpaid
Contract type service that occurs on a standing order basis.

Using the F4 (Cust) feature, Input your active customers profiles. Input all scheduled work, and any previous unpaid work either using the Add feature (for 0ne-shots) at the Cust Profile, or using the Frequency or Maintenance Template features (for your contract work that is regularly scheduled) at the Cust Profile. If needed, read the appropriate chapter(s) in Help.

If desired, you can create and use a "Balance Forward" transaction to summarize all previous unpaid work, rather than itemizing each transaction. To do this, simply create a Service Job Code called "BF" or "BALFWD," or "B," or whatever you like, then add the job to the appropriate customer's files using the total amount owed.

Next, using the Complete feature at the Cust Profile (or at Calendar), complete the jobs that owe, leaving the future scheduled jobs alone. This will allow you to route your existing scheduled jobs, and bill your unpaid jobs.

From this point on, you will input jobs into EasyRoute Plus when they are sold. This will enable you to see all scheduled appointments, which will help you decide which dates, times, or workers are best when scheduling or dispatching an incoming job.

From this point on, you will bill your customers using EasyRoute Plus' Batch Billing feature. If a customer wants a duplicate bill, use the Bill feature at the Cust level.

From this point on, you will enter any payments your customers make against these debit transactions (using the Payment feature at the Cust Profile) when you receive each check.

Later, after you have caught up with everything, begin to enter any non active customers and data.
